Executive Assistant

THE POSITION OVERVIEW
The Executive Assistant’s main function is to provide support to the company’s sales and marketing team. The goal of this position is to own and lead administrative tasks, enabling the sales and marketing team to focus on actions related to business development and service.
In short, the role can be best described as a catch-all position, supporting the company’s sales and marketing team on just about every issue you could ever imagine! To keep Red Plate Foods’ environment humming, this position requires plenty of phone calls and emails sent daily.
This is a full-time position that reports directly to the President, while also working closely with the entire Red Plate Foods team.
THE OPPORTUNITY
We are seeking a calm yet agile, detail oriented EA who is fueled by providing top-notch service, enjoys collaborating with team members and who has experience supporting executives who often pivot directions.

You will act as a troubleshooter, help desk attendant, diplomat, human database, travel consultant, amateur psychologist, and Red Plate Foods ambassador to the inside and outside world.

You must be available to work in person 5 days a week, 8:00 AM until 5:00 PM each day and sometimes later when critical tasks require completion. Occasional travel outside of scheduled work hours may also be necessary when attending trade and consumer events.

Red Plate Foods mission is making life easier and more “normal” for people with special diets. We manufacture foods that are “Free From” top allergens + vegan + gluten free. Red Plate Foods products are available in grocery stores and served by airlines, schools and restaurants across the United States.

THE ROLE
·        Respond to and initiate emails and calls from end consumers, stores, sales broker reps and distributors in a friendly, professional manner.  
·        Perform general clerical duties on an as needed basis.
·        Assist President with various personal tasks.
·        Organize Red Plate presence at and potentially attend tradeshow and consumer events.
·        Facilitate customer outreach programs (e.g. social media, loyalty programs).
·        Occasionally roll up your sleeves and help the bakery production team get an order out the door.


A TYPICAL DAY MAY LOOK LIKE

·        Grab a cup of coffee and have a quick pow-wow with the President on the day’s top priorities.
Review and respond to emails/voicemails/social media messages that came in overnight from broker reps, customers (end and B2B), creative and packaging vendors.
·        Call sales reps to set up monthly check-in calls with President.
·        Pack and send samples to existing and potential customers, first procuring dry ice and finally hand delivering to UPS.
·        Communicate with photographer scheduling and describing required images.
Create a social media post congratulating an Instagram contest winner using graphics program.
·        Print & post a customer rave review in the break room to share with staff.
·        Book travel for President and employees for tradeshow and call to confirm final booth details with show management.
·        Update images and pricing in distributor database.

SOFTWARE USED DAILY: MS Outlook, MS Word, Excel, Google Calendar, Hubspot, Adobe Acrobat, Hootsuite, social media platforms

SOFTWARE USED FREQUENTLY: Custom B2B databases, Adobe Illustrator, Canva

REQUIREMENTS
·        High school diploma plus five years’ experience -OR- advanced degree plus two years’ experience supporting sales in a small to medium sized business in an administrative professional role.
·        Driver’s license and clean driving record.
·        Ability to sit and stand for long periods of time.
·        Ability to repeatedly lift 30 lbs.
·        You must be available to work in person 5 days a week, 8:00 AM until 5:00 PM PST each day and sometimes later to complete critical tasks.
